When equipment needs repair or servicing, you can flag it for maintenance and take it out of rotation — so it won't end up in any new bookings until it's back in working order.

Flag an Item for Maintenance

Go to Inventory → Manage and find the item group that contains the item you need to service. Expand the row to reveal individual items, then click the wrench icon in the Actions column for the specific item.

A modal window will appear with a summary of any upcoming and active reservations tied to this item.

  • If the item is currently in an active reservation, you can still put it on maintenance — the existing reservation won't be cancelled.

  • Once the item is on maintenance, no future reservations will be able to include it until the maintenance task is completed.

Work With Maintenance Tasks

After you flag an item, a new task is automatically created in Inventory → Tasks. This is where you manage the entire maintenance workflow.

Each task moves through the following statuses:

To Do

The task has been created and is waiting to be picked up.

In Progress

Work is underway.

3

Completed

The item has been serviced and is ready to go back into rotation.

While working on a task, you can:

  • Add expenses with attached files and images to track repair costs.

  • Add comments to document what was done, what parts were replaced, or any notes for future reference.

What Happens When a Task Is Completed

Once you move a task to Completed, the item's status automatically returns to Available and bookings on it become possible again.

You'll also get a full history view on the item level — all expenses are summed up, and comments are grouped by task. This gives you a clear maintenance log for every item over time.
